How to restrict users from tasking a record that does not pertain to them

Description
This article provides information to keep users from tasking records that do not pertain to them. The Task operation is controlled by user group privileges and a visibility option. Privileges can be edited for the user group to restrict how the Task operation is accessed. If you choose to edit the privileges for a user group other than the "Users" group in the options below, keep in mind that all Static or Floating users are members of the Users group so you need to make the same changes to the privileges for the Users group.  More information can be found in the User Group Privileges Help section.

To restrict the Task operation so that each user can only task records where he or she is the assignee:

  1. Login to the workgroup as Admin.
  2. Click on the Admin icon.
  3. Click on the User Accounts link.
  4. Click on the Manage Groups button.
  5. Click on the Edit button to the left of the user group you wish to modify.
  6. Check the box for the privilege "Task Assigned Records".
  7. Ensure the boxes for the privileges "Task All Records" and "Task Records in States" are unchecked.
  8. Click OK to save your changes.
Be sure that you limit the Task privileges for other user groups as well. If a user is a member of multiple user groups and is granted additional Task privileges from another group that has access to the same project and form, the user may be able to Task records where he or she is not the assignee.

To restrict the Task operations so that users can perform the task operation for records that are in a certain state:

  1. Login to the workgroup as Admin..
  2. Click on the Admin icon
  3. Click on the User Accounts link.
  4. Click on the Manage Groups button.
  5. Click on the Edit button to the left of the user group you wish to modify.
  6. Check the box for the privilege "Task Records in States".
  7. Select the state in which users in this group will be allowed to perform the task operation for the records in that state. To select multiple states, hold down the Ctrl button on the keyboard while clicking on the desired states.
  8. You may check the box for the privilege "Task Assigned Records" if desired. This will allow users to also task any records where they are the current assignee even if the records are not in the state(s) selected above.
  9. Ensure the box for the privilege "Task All Records" is unchecked.
  10. Click OK to save the changes.
Be sure that you limit the Task privileges for other user groups as well. If a user is a member of multiple user groups and is granted additional Task privileges from another group that has access to the same project and form, the user may be able to Task records that are not in the desired state.

Restrict when a user can Task a record by changing the visibility of the transitions used to process a record.

  1. Login the workgroup as Admin.
  2. Click on the Admin icon.
  3. Click on the Workflows link.
  4. Click on the "+" icon to the left of the state in which you are editing transitions.
  5. Click on the Edit link to the right of the transition you wish to edit.
  6. In the "Make Visible to User Groups" list, select the user groups that will be able to use this transition.
  7. Click OK to save the changes.
